Workforce Efficiency Tips

1.        Offering Seamless Support to Employees

Employee productivity largely depends on the support the employer provides. Employees often encounter problems while working and it is important to ensure that they are resolved in the best possible way. If you want to increase the productivity of your employees, ensure that you implement a modern service desk in your organization.

A modern employee service desk is essentially a one-stop shop for a variety of challenges that your employees face. AI-driven, it understands the context of the issues that your employees face and provides solutions customized specifically for them. Unlike traditional service desks that use a manual ticketing system that employees find confusing, the AI-powered alternative makes the ticketing system invisible and allows employees to auto-resolve issues.

If your employees are able to get quick and personalized solutions to their problems, they can focus more on the work ahead of them thus increasing their productivity. Furthermore, integrated employee support makes employees feel valued by the organization, and this translates to higher levels of engagement.

2.        Effective Employee Onboarding

The first few weeks are usually the defining ones for both new employees and the organization as a whole. The period builds a foundation for the journey to be taken by the employee with the company. Effective employee onboarding is always crucial to increase their productivity.

Spend enough time planning the onboarding process and divide it into several phases. Always make sure that you make new employees feel comfortable in their new work environment. Employees can only give their best if they are comfortable with the new team members.

A significant part of employee onboarding involves giving employees a perfect welcome. Ensure that you send a warm welcome either via email or personally to them. Send a personalized email with their login credentials for the platform they will be working on, details about their leaders and colleagues, company policies, along with what it is expected from them by the company.

Always make sure that new employees are provided with the resources and gadgets needed to work with from the first day. Set up their desktops, laptops, and optimize them for ease of use. Offer training to new employees during the first few days and weeks in the organization.

3.        Delegating Responsibilities and Authorities

It is common for the management and the entrepreneur, particularly in SMEs and startups, to want to perform a range of tasks themselves. However, delegating authority and responsibilities is one of the most effective ways to increase employee productivity.

Access the capabilities of employees and allow the capable employees to shoulder the responsibilities of handling a group of subordinates. Work should be divided so that specific employees get to lead teams that perform tasks they are best at. It will help relieve the core management from performing multiple processes and manage business processes effectively across the organization in its entirety.

4.        Being Well-Versed with Your Employees’ Skills

The tasks allotted to employees should always be matched with their skills. Employees naturally perform well if they are performing tasks that they not only love but also are good at. Just like how letting one employee perform a variety of tasks isn’t advisable, making employees work outside their comfort zone or skill set will lead to a productivity decline.

5.        Focusing on Effective Communication

The lack of communication is the root of most evils. Make sure that you have sufficient provisions that help the management to communicate with employees and for employees to communicate with each other. Establish dedicated channels of communication, whether they are personal, via emails, phone calls, or video calls.

From communicating with employees about their work via tools such as Tracktime 24 to encouraging casual conversations, you need to establish effective communication across the entire organization to bring the best out of employees, particularly the remote workers.

6.         Have Properly-Defined Goals

Unless the employees know about the specific objectives and goals to be achieved, they probably won’t work in a dedicated direction and produce the desired results. Always ensure that you communicate the goals that you want to achieve to employees. This will push them to work better and improve their quality of work.

7.        Provide Enough Incentives

Providing the proper incentives to employees is an effective way to genuinely motivate them to work harder to improve their productivity. Still, you need to understand that incentives need not be limited to monetary rewards. Here are some equally effective incentives that you may consider offering your employees:

          Dedicated trophies

          Access to workplace wellness program

Flexible work hours on certain days

          A handwritten note expressing gratitude

          Paid time off
